  • Overview

    The role of Executive Assistant will be responsible for supporting the leadership of a diverse business team operating in core areas of North American soccer. The Properties and Events team is responsible for the delivery of over 160+ events annually, including the MLS All-Star Game, the Mexican National Team U.S. Tour, the Concacaf Gold Cup, Campeones Cup, conferences, and hospitality events. This role will perform a key function to the completion of department and company goals, while having access to the day-to-day operations to learn the business of soccer.


    Primary Responsibilities to SVP of Properties and Events

    • Maintain Executive’s schedule, exercise discretion and judgment with respect to important meetings and scheduling thereof
    • Use independent judgment to manage logistics for meetings, conferences, and executive travel
    • Serve as a liaison between Executive, Senior Leadership and Department Staff
    • Manage Executive event logistics for MLS/SUM marquee events:
      • Hotel accommodations
      • Rental cars
      • Ticketing
      • VIP Hospitality
      • Credentialing
      • Event registration for SVP and VIP Guests
      • Onsite meeting logistics
      • Onsite catering
      • Dinner reservations
      • VIP guest liaison
    • Manage high volume domestic/international travel logistics
    • Preparing expense reports via Concur
    • Process invoices
    • Ability to monitor and respond to email after normal work hours, including but not limited to:
      • Travel issues/changes
      • Correspondence that is time sensitive with respect to the President
    • Assist with special projects as needed, including but not limited to:
      • PowerPoint presentation development
      • Event schedule tracking
      • Letter and memo drafting
      • Meetings Notes
      • Miscellaneous Research
      • Guest hosting at MLS and Soccer United Marketing Events
    • Attend staff meetings
    • Working closely with other Executive Assistants

    • Bachelor’s Degree
    • 3+ years of experience supporting an Executive professional in an administrative capacity preferred
    • Bilingual (Spanish written and spoken)
    • Strong calendar management skills
    • Strong travel management skills, domestic and international
    • Excellent computer aptitude including working knowledge of MS Office Suite (Word, Excel, Outlook and PowerPoint)
    • Demonstrated time management skills including the ability to meet strict deadlines in a fast-paced environment
    • Excellent interpersonal, written, and oral communication skills
    • Professional demeanor, organized and detail oriented
    • Strong administrative support background for high profile executives
    • Assertive proactive thinker and problem solver
    • Ability to travel
    • Superior organization, project management skills and attention to detail
    • High level of commitment to quality work product and organizational ethics, integrity and compliance
    • Demonstrated decision making and problem-solving skills
